The Kawartha Pine Ridge District School Board (KPR) offers a world-class education for approximately 34,000 students in 87 schools. for the full-time position Secondary School Secretary II
The purpose of the Secondary School Secretary II position is to provide secretarial/clerical support and services to the school.
This position reports to: SCHOOL PRINCIPAL WITH WORK ASSIGNED BY THE SECONDARY SCHOOL HEAD SECRETARY
Main Responsibilities: Performs clerical duties either electronically or on paper for the school, including records management, updating manuals, filing; preparing correspondence, reports, minutes, agendas, calendars, newsletters and various other documents.
Completes and verifies absence reports, time sheets, other HR related documents electronically and on paper and maintains the ON Call system.
Creates and maintains student information, registration and Ontario Student Record files and responding to requests for information or transfer of records.
Maintains, reconciles and reports on petty cash, school bank account and school budget records, including school generated funds.
Prepares and tracks requisitions (purchase and warehouse); receives, verifies and ensures delivery of purchased items, stocks and monitors office supplies and equipment requisitioning and repairs of equipment, with some minor troubleshooting; packaging and arranging shipment of outgoing materials.
Assist the Principal with administration of the volunteer management system, receive and review police records checks and maintenance of the volunteer database, in accordance with Board Policy and Administrative Regulations.
Provides reception services for the school receiving calls and/or visitors, contacting parent(s)/guardian(s) as required, meeting needs of students coming into the office, carrying out the functions of student attendance, delivering messages/information to persons in the school and processing incoming and outgoing mail.
Records and stores medication for students; maintains and updates student health information.
Assists with arranging transportation of students including arranging daily pickup and drop offs for off-site events/trips and all required paperwork and reporting.
Prepares report card database, creates teacher take home disks, importing student data and printing report cards.
Provides additional secretarial support to Student Services, Guidance and/or Co-op departments re: university/college applications and seminars, commencement, IPRC, textbooks and deposits, Ministry reports, trips, time tabling, homework assignment requests, locker assignments, guest speakers, Drivers Education records, Peer Helper program, etc.
Performs other duties as may be assigned by the Secondary School Head Secretary and the school Principal.
Education & Experience: Secondary School Graduation Diploma or equivalent;
Six (6) months to one (1) year recent office experience.Specialized Skills: Intermediate level computer skills in word processing, spreadsheets and databases;
Experience using Aspen;
A commitment to service excellence.A police records check, with a Vulnerable Sector Search and
Pardoned Sexual Offenders Database Search , dated within 6 months prior to the date
of hire , is a requirement for employment with this Board.
