Location: Central Office Working Hours: Monday - Friday, 8:00 a.m. - 12:00 p.m. and 1:00 p.m. - 4:00 p.m. Reports To: Executive Assistant Position Summary The CEC Receptionist is responsible for providing a welcoming front-line service to visitors and callers to the Catholic Education Centre (CEC). This role involves managing phone calls, assisting with meetings, organizing mail, and supporting various administrative tasks. The ideal candidate will represent the Catholic Education Centre with professionalism, ensuring a positive experience for all internal and external stakeholders. Key Responsibilities Answer and direct all incoming calls for the central office in a courteous and professional manner. Greet visitors, determine their needs, and assist or direct them appropriately. Set up and take down meeting spaces as needed. Manage boardroom bookings and ensure all required resources are available. Open, distribute, and process incoming and outgoing mail. Order and restock kitchen and office supplies to maintain efficient operations. Oversee the setup and usage of the laminator, including handling bookings and ordering supplies. Monitor the emergency line and be prepared to assist during drills and emergency situations. Collaborate with OH&S and Human Resources to handle all accident and incident reports in the division. Make weekly bank deposits as required. Provide administrative support to the Office Manager/Executive Assistant, Human Resources, and Business Services for project work. Qualifications and Skills Technical Skills: Proficiency in Google Suite and Microsoft Office is essential. Familiarity with Atrieve is considered an asset. Interpersonal Skills: Strong communication and customer service skills, with a professional and friendly demeanor to represent the Catholic Education Centre effectively. Experience: 3-5 years of secretarial or office work experience is required. Additional education or certification in office administration is an asset. Organizational Skills: Ability to manage multiple tasks, prioritize work efficiently, and maintain attention to detail.
