Position Summary:
The supervisor of School Business liaises with school administration, staff, students, parents and community to facilitate all day-to-day operations, including management of the school budget and finances, management of teacher on-calls and supervisions, and supervision and management of the office and office staff.
Key Responsibilities: Responsible for the administration, recording and reporting of all financial activities in the school in order to ensure that the school complies with board policies/procedures and municipal, provincial and federal laws and regulations.
Promote and educate staff, students and parents on the benefits of using the online payment system and ensure all available fees, items for purchase, field trips, etc. are made available for payment on the online payment system.
Training school staff and/or volunteers on financial processes regarding school activities and/or fundraising events involving monetary transactions.
Coordinate all school purchases to ensure proper approval, budget availability, compliance to procurement procedures, to ensure orders are placed in a timely manner in order to meet the needs of the school.
Prepare monthly reconciliations and reports such as: budget status reports, bank reconciliations, purchase card reconciliation, revenues and expenditures reports, HST rebate submissions and Board budget account reconciliations.
Manage and direct daily: teacher on-calls and supervisions, occasional teachers, short term and long term LTOs (teaching and non-teaching), ensuring compliance as per collective agreements and as necessary to ensure student learning, protect instructional time and student safety.
Review and verify all staff absences in Human Resources Attendance Management System on a daily basis to ensure all entries are accurate, absence code is appropriate and the applicable budget code has been used for purposes of payroll, employee records and budget.
Facilitate school administrative processes to ensure smooth operation of the school for all stakeholders (students, parents, staff, administration and community).
Manage and coordinate a number of special events, programs and activities (i.e. Registration, Commencement, Halton Food For Thought Program, awards evenings, open houses, etc.).
Provide responsive customer service to all members of the school community.Supervisory Responsibilities:
Responsible for hiring, training, evaluation, supervision, growth and appraisal of office staff.
Assign work, sets schedules, resolves problems, identifies appropriate individual goals aligned with individual capabilities, work requirements, and HDSBs vision and strategic plans.Qualifications: Three (3) year College Diploma in the Business Administration or equivalent.
Six (6) years job related experience in an administrative role.
Clear understanding of accounting principles and PSAB.
Advanced computer application skills (Microsoft Office and Google Suite).
Knowledge of computerized accounting systems.
Ability to multi-task, prioritize and work with frequent interruptions.
Demonstrates communication, interpersonal and conflict resolution skills.
Demonstrates leadership and managerial skills.
Knowledge and experience of HDSB software (ISYS, SFE, BAS, School Cash Suite, Edge4, Trillium, Ebase, Work Tech, School Connects) is preferred.
Knowledge of HDSB Administrative Procedures, process and policies is preferred.
Must have a valid drivers licence and own transportation in order to make deposits at financial institutions.
