Delta School District is seeking applications for the position of Executive Assistant supporting Continuing Education.

The Delta School District is seeking an experienced Executive Assistant to join our team in a lead role with overall responsibility for communication, coordination, and confidential administrative support to ensure the professional and efficient functioning of our continuing education programs.

The successful candidate will be an individual who thrives in a dynamic team environment and provides a customer service orientation to every interaction with employees and partner groups. This individual will be highly motivated, demonstrating professionalism, organizational skills, and the ability to manage multiple priorities while creating efficiencies with workflow.

Expectations and responsibilities include: Providing professional and confidential administrative support to the District Principal of Continuing Education and the District Principal of Learning Services.

Handling program matters that are sensitive and highly confidential in nature.

Enrolment management.

Program start-up lead with Coordinators in Continuing Education programs.

Managing Ministry compliance requirements and staying up to date on changes.

Providing leadership and guidance to administrative support staff in continuing education which includes hiring, training, and performance management.

Responding to verbal and written communication and liaising internally and externally by screening requests and inquiries, deciding on the importance/urgency of the request, providing a response, and/or forwarding to the staff responsible.

Develops, implements, and improves administrative systems and processes that reflect best practices in records management for the department.

Oversight of the 1701 process for Continuing Education programs.

MYED Lead for the department.

Supporting key District projects and initiatives as assigned.

Liaising with all levels of government and other external stakeholders.Qualifications Include: A diploma or certificate in Office Administration, Business Administration, or relevant discipline and 3 years recent, related administrative experience. An equivalent combination of education and experience will also be considered.

Advanced knowledge of the Microsoft Office Suite and MyED.

Excellent interpersonal and communication skills with the ability to deal with people in a tactful, diplomatic, and professional manner.

Ability to organize and prioritize work, work under time pressures to meet deadlines, handle interruptions, and adjust to changing priorities.

Demonstrated ability to work independently and make decisions to determine appropriate action when handling inquires.

Strong leadership skills including the ability to guide and support administrative staff to achieve success.

Has the capacity to keep pace and anticipate the needs of the District Principals and the department.

Proven ability to establish and maintain effective working relationships with internal and external stakeholders.

Demonstrated ability to maintain confidentiality and exercise discretion.Starting Salary: $68,566

This professional exempt position works in an office environment. The successful candidate will be offered a competitive salary and benefit package.
