The Trillium Lakelands District School Board invites applications for aTEMPORARY PART-TIME ELEMENTARY ASSISTANT SECRETARY

Gravenhurst Public School This temporary part-time (10-month) position is available starting immediately, not longer than July 4, 2025. This position is responsible for assisting in the secretarial and clerical duties of the school office, all of which relate to supporting educational and student programs.

Duties: Provide secretarial support to the Principal when required by typing, filing, recording and duplicating.

Act as receptionist for telephone calls and visitors coming into the school, giving information and direction according to district and school guidelines.

Assist with the contacting of parents by telephone re: student accidents, absenteeism and illness.

Collect and count money for a variety of school functions, i.e. food days, fundraising, etc.

Assist with the preparation of school accounts.

Assist with typing teachers' budgets, purchase orders, return of board payment approval forms, distribution of supplies, etc. Keep records of petty cash fund.

Administer medications and any first aid treatment necessary for students and record in the log book in the absence of full-time secretary.

Assist with compiling the consumable orders for the school, check goods received against purchase orders, unpack materials and distribute to classrooms. Maintain a budget record of the amounts spent. Balance budget records of official budget reports.

Assist with the distribution of incoming mail and courier items.

Related duties as assigned.Qualifications Required: Secondary School Graduation Diploma plus additional computer training/courses in Microsoft Office and/or Google Suite);

Related secretarial experience of six (6) months to over a year plus six (6) months on the job experience;

Demonstrated computer knowledge and practical experience on multi-screen database systems.

A good working knowledge of/and experience using Word, Excel, Google Suite and Powerschool;

Knowledge of the Schoolcash, Atrieve and the Library computer programs is definitely an asset;

Good confidentiality skills and understanding and good personal qualities of maturity, tact and discretion;

A general working knowledge of accounting, bookkeeping and budgeting is definitely an asset;

Excellent organization, prioritizing and customer service skills;

Self-motivated and ability to work with minimum supervision;

Demonstrated ability to communicate and work effectively with staff members, parents, students and the general public both in person and on the phone absolutely essential.

Updated First Aid and CPR training would be an asset.Hours of Work: 7hrs/week, Mon to Friday Midday coverage needed each day

Hourly Rate: $25.38 to start

Point Band: 6 (unionized position)
