Board/Committee Coordinator

100% Regular

Monday - Friday, 35 hours per week

Union Exempt Level 2: $50,500 to $59,400 per annumUnder the direct supervision of the General Manager of Board Services, the Board/Committee Coordinator produces the official record of the Ottawa-Carleton District School Board by recording and taking minutes of meetings for standing, statutory, advisory and ad hoc committees of the Board; provides governance advice, administrative and clerical support to trustees, staff and the general public.

Main responsibilities include but are not limited to:

Facilitating the effective operation of hybrid and virtual meetings for standing, statutory, advisory and ad hoc committees of the Board;

Recording and preparing minutes of meetings (public and closed) of standing, statutory, advisory and ad hoc committees of the Board

Organizing, preparing and maintaining records associated with the committees, including confidential documents, consistent with records management practices, procedures and applicable legislation

Compiling, preparing, publishing and distributing all meeting agendas and notices

Participating in agenda planning meetings

Receiving requests for delegations at Board/Committee meetings, contacting delegates and reviewing processes in accordance with the By-laws and Standing Rules of the Board

Liaising with Trustees, Chairs and members of the committee to provide support on committee matters

Work collaboratively with trustees and committee members to ensure safety measures are followed and maintained during committee meetings.

Responding to inquiries from the general public on matters related to meetings of standing, statutory, advisory and ad hoc committees of the Board Qualifications

Post-secondary degree or diploma in public administration, business administration or a related discipline and 2 to 3 years of related experience, including experience with agenda and minute preparations. An equivalent combination of education and experience may also be considered.

Completion of municipal training through the AMCTO (Association of Municipal Managers, Clerks and Treasurers of Ontario) is considered an asset.

Computer skills with advanced typing ability for recording minutes of meetings is required.

Knowledge of parliamentary procedures, and legislation pertaining to local government and education, in particular, the Education Act and the Municipal Act

Understanding of the Board by-laws and rules of procedure

Knowledge of relevant computer applications such as word processing, spreadsheets, and databases.

Interpersonal and communication skills required for liaising with clients at all levels of the organization (both orally and in writing); responding to requests for information; and demonstrating tact and diplomacy and high degree of discretion.

Flexibility to adapt to changing situations.

Initiative and judgment skills to perform work effectively with minimal direction & supervision.

Organizational skills, as well as time management techniques for planning and organizing work; juggling multiple priorities, and dealing with changing timelines and priorities. Application Process
