We are seeking a flexible team member who possesses strong organizational and people skills. The ideal candidate will take initiative, assist where needed, and be a committed member of the office team.
Coding & entering invoices
Coding & entering visas
Balancing maintenance staff timesheets, tracking vacation, sick, overtime, on call standby time and appointments
Collecting, submitting hourly timesheets for day people
Balancing IMR/CMR projects, entering details into VFA program
Monthly completion of special projects
Safety committee agendas, minutes, regular fire drills
Incident reporting
Organize staff training courses, conferences, membership registrations
Keep staff current in Hour Zero and Public Works training
Maintain the Maintenance calendar with staff leaves, projects, etc.
Assign work orders
Hire contractors as needed
Handle phone calls and emails from all through the division
Manage contractor keys, sign outs and returns
Assist with annual budget
Handle fire alarm, sprinkler, kitchen exhaust, kitchen suppression and fire extinguisher reports and certificates for the division
Manage nameplate orders, decal orders, paper products, office supplies, etc
Maintain multiple office binders
Track utility consumption and cost
File management - electrical and paper files
Help staff with requests as needed
Ensure job hazard assessments, vehicle inspections are completed
Create and maintain the on call calendar and oversee monthly maintenance shop inspections
Other duties as assigned
This employment opportunity is full time working Monday-Friday.
