The Avon Maitland District School Board is inviting applications for the OSSTF- ESSP permanent position of Accounts Payable Associate at the Education Centre in Seaforth, Ontario.

The Avon Maitland District School Board is a full service, public, English school district in southwestern Ontario, bordering Lake Huron and covering the counties of Huron and Perth. Nestled in the heart of Southwest Ontario, Huron and Perth Counties include rural farmland and backcountry roads along with areas of historic architecture, arts, culture, and the newest culinary trends.

In the geographical center of this thriving region is Avon Maitlands Education Centre in Seaforth. The Boards Administrative Offices are located here, and they contain the central support for 31 elementary and 8 secondary schools, approximately 1600 teachers and 900 support staff. Essential Functions and Responsibilities Process invoices for payment in accordance with standard procedures and payment schedules, including but not limited to:

Organize and prepare invoices, expense claims and internal payment requests for payment

Confirm transactions are in accordance with Board procedures (i.e. proper authorization, itemized receipts, etc.).

Calculate and code tax rebate where applicable.

Assign general ledger account code where applicable.

Input invoice data into the Boards accounting system.

Prepare and balance invoice batches for payment, including AP batch audits of payment items entered by another member of the Financial Services team.

Generate cheques and electronic funds transfers (EFT) for payment and assist in the accounting for preauthorized distribution payments (PAD).

Distribute cheques and remittance advices to vendors including external, schools, and departments.

Initiate stop payment as required (i.e. due to lost cheque or incorrect payee).

File completed transactions.

Communicate with all Board sites and departments regarding payments to vendors, employees, host families, etc.

Liaise with vendors, regarding outstanding or incorrect invoices, payments, etc.

Maintain and process the Education Centre petty cash fund.

Perform related general office duties including filing, archiving, processing department mail, e-mail and internal courier, etc.Qualifications and Experience Completion of a one year community college business program plus up to six (6) months related experience; or a combination of experience, education and training that is considered equivalent.

Proficiency with Microsoft Office (Word, Power Point, Excel) and computerized financial systems (e.g. Navision).

Proficient and accurate keyboarding skills.

Demonstrated belief in customer service excellence.

The capacity to problem-solve, and multi-task in a busy environment.

Ability to self-motivate and to work both independently and within a team.

Proven professional oral and written communication skills and a high degree of confidentiality.

Hours of Work: 35 hours per week (12 months per year)

Rate of Pay: $23.86 per hour - Level 1 of OSSTF-ESSP Collective Agreement

Pension Plan: Defined pension plan through the Ontario Municipal Employees Retirement System (OMERS)

Start Date: November 1, 2024
