Position Overview:

You will coordinate and manage the administrative operations of the Wernham West Centre for Learning (WWCFL), including student testing accommodations, external applications, record-keeping through various platforms and portals and provide a wide range of high-level administrative, office, project management and analytics support to the Director and CfL team members in a busy, dynamic and highly confidential environment.

Key Responsibilities:

Data/Documentation Management

Maintain accurate and complete records, coordinate distribution and collection of sensitive and confidential material;

Manage the WWCfL Drive and Wernham West School Drive;

Ensure Ontario School Records are up to date with appropriate documentation regarding student educational evaluations and Individual Education Plans (IEPs);

Support the Director and Upper School Coordinators in compiling student IB applications by gathering appropriate documentation, educational evidence, and creation of support and/or appeal letters;

Ensure the efficiency and accuracy of the ACT/SAT applications by supporting students and parents in obtaining required consent and documentation, collaborate with the Director on the submission of the application and delivery of decision notifications;

Oversee and upload all Student Support Plans into Bluenet portal.

Student Testing Centre:

Administer quizzes, tests and exams to students with accommodations in accordance with Upper Canada Colleges examination policies and procedures;

Coordinate exam schedules, assistive technology requirements, allocate locations, and proctors accordingly;

Collaborate with the Registrar in the execution of examination periods;

Support with the coordination and applications of external tests and exams (i.e.,OSSLT, ISA, CEM, ACT, SAT) for accommodated students, including scheduling and managing external proctors;

Calculate allocation of additional time required for students to complete academic requirements;

Operate assistive technology for students to complete quizzes, tests and exams;

Provide training, in collaboration with the Director, for Residential Assistants and other personnel assigned to the testing Centre;

Be a support for students by knowing the student, their accommodations, and individual needs.

Administrative Support to CfL:

Assist the Director with parent and faculty communications on a variety of matters, provide administrative support as required;

Assist in the planning and maintenance of the CfL timetable and schedule; and arrange coverage for classes when CfL members are away;

Coordinate administrative duties for special CfL events

Compile leaving class packages for students with accommodations (i.e, Educational Evaluations, OPR, and instructions for post-secondary accommodations);

Compile OSSLT letters for students with accommodations and ensure letters are appropriately filed in the OSR;

Support departmental PD development and budget management;

Prepare, distribute and collect Academic Tutoring Contracts, Vulnerable Sector Screening (VSS) forms, and required documentation;

Facilitate the scheduling of tutoring sessions.

Other duties:

Cross-train other administrators across the college to enable them to support during work peaks, vacations and other absences;

Be a mentor for an IB continuum project (Personal Project, PYP Exhibition or Extended Essay).

Project Management

Support the management of projects, including strategic initiatives, run out of the Wernham West Centre for Learning. Tasks include organizing committees, budget administration and developing and maintaining tracking/reporting for various initiatives to support the Wernham West Centre for Learning Mandates;

Regularly attend meetings of working groups and forums associated with these initiatives to assist with capturing action items and reporting on progress;

Assist with the development, planning and/or execution of special projects which build a schedule to track significant dates, project instructions or work progress.

Learning Analytics

Provide administrative support for external standardized tests (e.g., ISA, CEM) which includes student data upload, organizing and coordinating testing dates, and providing support in running reports;

Act as a point of contact for standardized testing platforms (e.g. ISA, CEM) and other external data platforms such as the Consilience Learning Analytics Collaborative;

As a member of the College team working to progress learning analytics, involved in relevant professional development, planning and other activities in collaboration with members of the Academic team and members of the Department of Information and Innovation.

Key Experience, Knowledge and Competencies:

Minimum completion of secondary school with five years of relevant progressive administrative experience;

Completion of post-secondary diploma in administration would be an asset;

Be a mentor for an IB continuum project (Personal Project, PYP Exhibition or Extended Essay);

Provide standard administrative practices in an education setting;

Apply specific school/college/university administrative policies, procedures, practices and standards;

Knowledge of Ministry requirements and procedures for student testing and submission of academic records

Proven experience with standard desktop software for producing documents, reports, presentations and spreadsheets, and standard/specific database software for maintaining student records;

Support programs and events of the school/college;

Ability to assess schedule requirements, anticipate and resolve schedule conflicts and recommend/assign faculty;

Ability to review Ministry of Education and IB requirements and advise students accordingly;

Ability to provide routine direction, information and advisement to students, faculty and parents in regards to ACT and SAT policies, procedures and outcomes;

Ability to discuss sensitive issues with students and parents regarding testing accommodations and external applications;

Ability to provide clear instructions and oversight when assisting with the administration of tests;

Ability to support management in other general communications;

Ability to maintain secure and confidential records;

Ability to foster positive and supportive relationships with students, parents and faculty.
