The International Baccalaureate Program team is seeking an Administrative Assistant, IB Programs and BHX Program to join the team.
Reporting to the Diploma Program Coordinator, you will provide administrative support to the Diploma Program and Middle Years Program Coordinators, the Branksome Hall Asia Exchange Program (BHX) and assist with the administration of exams. As part of this role, you will update departmental budgets and expenses as they pertain to the IB programs and BHX.
In addition, you will help the team manage their workloads and make the
best use of their time. Discretion and confidentiality are essential attributes for this position, as will be a full and committed understanding of the mission and vision of Branksome Hall.
Responsibilities Include but Are Not Limited To:
Support to the Coordinators (IB DP, IB MYP, Core Coordinators, Exam Coordinator)
Assist and support the IB Coordinators (Diploma Program, Middle Years Program, DP Core and MYP Core) with communications, event support and administrative tasks related to the IB Diploma Program;
Support faculty members in uploading of Internal and External Assessments, as required;
Provide administrative support to the MYP Core Coordinator with respect to the Careers program, the Personal Project, and the Personal Project Showcase
Keep up to date on IB Information System changes and inform IB Coordinators and Assistant Heads;
Provide support to IB written and oral exams (December, February, March and May);
Update and maintain the Learning Management System (Portal and ManageBac) in relation to the MYP;
Track and reconcile budgets and expenses pertaining to the IB programs and in support of the IB Coordinators;
Assist in preparation of curriculum materials, reports and publications as needed by IB Coordinators.
Administrative Support to the Branksome Hall Asia Exchange (BHX) Program
Assist with coordination and administrative logistics related to Branksome Hall Asia Trips including liaising with external vendors, speakers, suppliers as needed etc;
Make all travel arrangements for students and staff;
Coordinate and track the distribution, completion and submission of required forms and documents (e.g. visas, passports, permission forms, payment) required of students, faculty and parents;
Maintain accurate trip records, including participant information, activities and budget
Support the logistics related to BH Canada travel.
Support to Service Learning and CAS
Under the direction of the DP and MYP Coordinators:
Support entry of MYP-CAS data into student information system;
Where necessary, produce reports, send updates, and organize information from Managebac;
Support data entry of all community service activities for Grades 7 through 12;
Support Community Service Coordinators when planning school-wide initiatives and when working with student information (i.e. providing student lists for CS activities that are out of school).
Participate in coverage for Reception on a rotational basis;
Provide assistance with Parent Teacher interviews twice per year as needed;
As a member of the administrative support team, assist with the IB Conference as needed on the days leading up to the Conference, and during the Conference, as required by the IB Conference Coordinator.

The successful candidate brings a high level of energy, willingness, and flexibility to initiate and accomplish multiple tasks, has highly developed organizational skills and attention to detail, strong technology skills, as well as proficiency in MS office applications and Google Suite complete your profile. In addition, the successful candidate should also hold a university degree and/or a diploma in a related field and at a minimum will have 3 5 years of experience of managing events and projects.
