Living Waters Catholic School Division Central Office, Whitecourt is looking for an Executive Assistant. The Executive Assistant will: Report to the Superintendent of Schools.

Manage workflow within the Central Office and coordinate activities within the practices of the Executive Assistants team.

Provide support to the Living Waters Board of Trustees and within other areas of the Organizational Structure of the Division, whenever necessary.

Ensure the timely and efficient flow of materials and information between the Executive team, the divisions they support and other stakeholders, including the Corporate Board.

Provide confidential administrative assistance to the Executive Team for daily activities such as communications, correspondence, calendar management, scheduling and coordination with internal and external stakeholders.

Record pertinent information at meetings, track action items and conduct follow-up where required.

Develop, implement and monitor administrative procedures within key areas to ensure efficient operation and compliance with corporate policies.

Collect, research, analyze and assemble relevant data, and prepare reports, presentations and other materials for both internal and external audiences.

Liaise with clients and staff at various levels across the Division on behalf of the Superintendent of Schools and Board of Trustees to achieve divisional goals and strategic planning objectives.

Ensure high-quality documentation, oversee timelines, track work requirements and ensure that deliverables are met.

Implement established procedures and processes for records management of agreements, contracts and policies to maintain compliance within the area of responsibility.

Support and provide supervision for the administrative personnel and components relating to special events or activities facilitated by the Division.Education and Experience: Post-secondary education in office administration is highly desired, with a minimum of five years of progressively responsible administrative experience.

3+ years of professional experience providing executive-level support.

Advanced working knowledge of Technology and how it can be used to enhance and produce communications. (Google environment)

Applied knowledge and practice with common corporate office policies and procedures.

Strong project and procedural management skills with a commitment to continuous improvement.

Superior verbal and written communication skills with the ability to communicate effectively and confidently with all levels of staff, including senior management.

Excellent organizational, interpersonal and time management skills.

Strong analytical, problem-identification and problem-solving skills.

Proven ability to demonstrate tact and discretion in preparing, prioritizing, disclosing and handling confidential and sensitive information.

Ability to confidently make decisions without immediate supervision, maintain quality and take responsibility for actions.

Ability to manage complex information flow and assignments to meet time-sensitive deadlines.

Resourcefulness and the ability to make and maintain strong connections.
