This Exempt position reports to the Executive Assistant, the successful applicant will be part of a team that provides confidential administrative support services to the Secretary-Treasurers Department and the Board of Education.
This position works closely with the Executive Assistant on the preparation of all board related materials and management of meetings. Duties include preparation of board/committee packages, reports, correspondence, presentations, and liaising with stakeholders. Attendance at board and committee meetings is required as well as attendance at staff meetings to take minutes, transcribe and distribute meeting documentation to stakeholders. Additional tasks include coordinating multiple calendars, maintaining records, making travel arrangements, completing expense claims and performance of general administrative and clerical duties. Also support the Assistant Secretary-Treasurers with managing the polices & procedures, privacy and records management portfolios.
Applicants will possess: A diploma in Office Administration or equivalent.
A minimum of five years administrative work experience at a senior leadership level.
Proficiency in Windows, MS Office Suite, and Adobe Acrobat.
Experience working with elected officials and/or public or private boards.
Experience with school district policies and procedures, privacy and records management.
Attention to detail and organized with various correspondence and communication channels.This position provides direct support to executives and the Board of Education in the absence of the Executive Assistant. A high level of expertise and discretion in all areas of office practice and procedures and the ability to work independently and prioritize time sensitive projects while maintaining discretion and diplomacy is essential.
This full-time position is based at the district education centre and not at a school. Public Board meetings take place once a month in the evenings, and committee meetings may be scheduled after 4pm. Please note that after hours work will be required for attendance at board/committee meetings.
The salary range for this position is: $32.93 per year with comprehensive benefits package and Municipal Pension.
